The Employees’ Provident Fund Organisation (EPFO) has updated its process for correcting wrongly mapped Member IDs (MIDs) linked to Universal Account Numbers (UAN).

In a circular dated April 13, EPFO has allowed employees to raise requests for de-linking incorrect Member IDs even in cases where EPF contributions have already been deposited, provided the entries were created erroneously or without the member’s knowledge.

The organisation said the move is aimed at correcting service history records and reducing grievances arising from duplicate or incorrect Member IDs.

"In this connection, the Competent Authority has approved the extension of this functionality to include those cases where wrong MIDs were created without the members' knowledge and contribution is also available in such MIDs," EPFO said in the circular.

However, the process will continue to follow strict verification at multiple levels, including employer and field office scrutiny wherever required.

As per the EPFO April 2026 circular, member IDs from which claims have already been processed/settled/pending or have received contributions more than six times, will not be allowed to file the de-linking request.

How the de-linking process works: A step-by-step guide

1)Members must log in using their UAN and password on the EPFO Unified Member Portal.

2)Go to “View, then Service History” to see all Member IDs linked with the UAN.

3)Click the “De-link” option against the Member ID that needs correction.

4)Choose the reason for de-linking, such as wrong mapping or employment not joined, and confirm Aadhaar-based e-KYC consent.

5)Enter the OTP sent to the registered mobile number to submit the request.

6)The request is then sent to the employer, who checks contribution and claim details before taking a decision.

7)If the employer does not act in time, refuses the request, or if contribution levels are higher than the defined limit, the case is escalated to the Regional Office for detailed examination.

8)The case is reviewed by compliance officials and the Regional Provident Fund Commissioner (RPFC), who take the final decision after recording reasons.

Strict validation rules

The EPFO system applies strict checks before allowing de-linking, including:
  • Restrictions on Member IDs created before 31 December 2016

  • Blocking of IDs linked with pending or settled claims/transfers

  • Limits based on number of contributions made under the Member ID

What EPFO aims to fix

The revised system is intended to:
  • Correct wrongly created or mapped Member IDs.

  • Improve the accuracy of the UAN service history.

  • Ensure proper verification before any deletion or correction.

  • Reduce employee grievances related to duplicate PF records.
